Who We Are

This Privacy Policy explains what Mentor Pods ("we", "us") collects when you use mentorpods.com, why we collect it, who we share it with, and the choices you have. Mentor Pods is based in Cleveland, Ohio, United States.

1. Information You Give Us

When you fill in a form on this site (an inquiry, a free guide request, a show special claim, or a replay request), we collect what you type. Depending on the form that can include:

  • Your name, email address and phone number
  • Business details you choose to share (business name, industry, revenue range, team size)
  • Your answer to the challenge question and how you heard about us
  • Which page you were on and the promotion, show or referral link that brought you there

If you email us, call us, or reply to one of our emails or texts, we keep that message and our reply so we can follow up.

2. Information Collected Automatically

Our own page view count. When you visit a page we record the page path, the page that sent you here, any campaign tags in the link, your screen width, and a random session ID stored in your browser for the length of the visit. This is stored on our own servers, does not use cookies, does not include your IP address, and is never shared. It is used only to understand which pages people read.

Google Analytics 4. After your first scroll, click or key press on the site, we load Google Analytics 4. Google sets cookies (the _ga family) and receives information about your visit such as pages viewed, approximate location, device and browser, and the site that referred you. We use this to understand how the site is used. Google's policy is at policies.google.com/privacy.

Meta Pixel. At the same time we load the Meta (Facebook) Pixel, which records a PageView and sets cookies such as _fbp. Meta receives your browser and device information and, if you are logged in to Facebook or Instagram, can connect your visit to your Meta account. We use this to measure our advertising and to show ads to people who have visited this site. This is not anonymous. Meta's policy is at facebook.com/privacy/policy.

Email open tracking. Some emails we send include a tiny invisible image. When your email app loads it, we learn that the email was opened and when.

Spam and abuse protection. When you submit a form we check how long the form was open and a hidden field that only automated software fills in. When a submission is rejected or flagged, we log the reason, the time, the endpoint and your IP address so we can catch mistakes and stop abuse.

Google Analytics and the Meta Pixel run only on mentorpods.com. You can turn both off for your browser in section 8 below.

3. Cookies and Browser Storage

We set the following in your browser:

  • Google Analytics cookies (_ga, _ga_*): tell pages of a visit apart and recognize a returning browser. Set by Google, last up to two years.
  • Meta Pixel cookies (_fbp, and _fbc when you arrive from a Facebook or Instagram ad): used by Meta for ad measurement and targeting. Last up to 90 days.
  • Chat assistant storage: if the chat widget is on, it keeps four items in your browser's local storage (chloe-chat-session, chloe-chat-messages, chloe-chat-greeted, chloe-chat-phase) so the conversation is still there when you come back. They stay until you clear your browser storage.
  • Session storage: a random session ID for our page view count and, right after you submit a form, your first name so the thank you page can greet you. Both are cleared when you close the tab.
  • Your privacy choice (mp-privacy-optout): remembers that you opted out of Google Analytics and the Meta Pixel. Stays until you clear it or turn tracking back on.

Our hosting also sets two short lived technical cookies that are needed to serve the site and do not track you across sites: __cf_bm (Cloudflare, bot protection) and __dpl (our hosting platform, routing). These are set whether or not you opt out.

We do not load Google Fonts or any other third party fonts. Type is served from our own site.

4. The Chat Assistant

The chat bubble on this site, when it is turned on, is an AI assistant named Chloe. It is not a person, and it says so when it opens.

  • Every message is stored. Everything you type and every reply the assistant gives is saved on our servers, tied to a random session ID, and can be read by our team.
  • It looks for your name and email. The assistant is instructed to notice when you share your name or email address in the conversation and to save them to your chat session so we can follow up with you.
  • It uses an outside AI model. Your messages, along with recent chat history and our public information about pods, events and promotions, are sent to Google's Gemini model through the Lovable AI Gateway to generate each reply. If you arrived from a show special you claimed, the assistant may also be given the emails we have already exchanged with you so it can answer in context.
  • It can be wrong. The assistant's answers are generated automatically. Do not treat them as a quote, a contract or professional advice. Pricing and terms on the site and in your enrollment agreement control.

Please do not share payment details, passwords or other sensitive information in the chat.

5. How We Use Your Information

  • To answer your inquiry and set up a fit conversation
  • To send you the guide, replay or other item you asked for
  • To send follow up emails and, when you give us a phone number, text messages about the offer you claimed (see section 6)
  • To decide whether a pod is a good fit for you
  • To measure how the site and our advertising perform
  • To detect spam, abuse and misuse of our forms
  • To meet legal obligations and enforce our Terms

We do not sell your personal information for money. Because the Meta Pixel sends information about your visit to Meta for advertising, that counts as "sharing" under California law. See section 8.

6. Email and Text Messages

Email. When you submit a form, you agree that we may email you about your request and about Mentor Pods. Every marketing email we send has an unsubscribe link. You can also unsubscribe by emailing info@mentorpods.com. We will still send emails you need, such as a confirmation of something you asked for.

Text messages (SMS). When you give us your mobile number on a form that says so, you consent to receive text messages from Mentor Pods at that number about the offer, show or request you submitted, and occasional follow ups from our team. Messages are sent by an automated system. Message frequency varies; most people receive a small number of texts tied to what they signed up for. Message and data rates may apply. Consent to texts is not a condition of buying anything from us.

  • To stop: reply STOP to any text, or email info@mentorpods.com. We will stop texting that number and remove it from our text list.
  • For help: reply HELP to any text, email info@mentorpods.com, or call 216-219-4561.

Carriers are not liable for delayed or undelivered messages. We do not share your mobile number or texting consent with anyone else for their own marketing.

7. Who We Share Information With

We use these companies to run the site. Each one receives only what it needs to do its job for us, and none of them may use your information for their own purposes except as described here.

  • Supabase: hosts our database, where form submissions, chat transcripts, page view counts and message queues are stored.
  • Cloudflare: serves the website and runs the code that processes forms.
  • Resend: sends our email, including confirmations, guide deliveries, follow ups and our internal notifications.
  • KME text messaging gateway: a messaging service operated by our parent company that delivers our text messages to your carrier.
  • Google: Google Analytics 4 (analytics), the Gemini model that powers the chat assistant, and Google Workspace, which hosts our business email inbox where your emails and replies land.
  • Lovable: the platform that builds and hosts this site and the AI gateway that relays chat messages to Google's model.
  • Meta: the Meta Pixel, for advertising measurement and audiences.

We may also share information when the law requires it, to protect our rights or safety, or as part of a sale or merger of our business. We do not sell your personal information to data brokers or anyone else.

8. Your Privacy Choices

Do Not Sell or Share My Personal Information. Because the Meta Pixel counts as "sharing" under the California Consumer Privacy Act, you have the right to opt out. The control below turns off Google Analytics and the Meta Pixel for this browser. Nothing else about the site changes.

Status: checking your browser

This choice is saved in this browser only. If you clear your browser storage or use a different browser or device, you will need to make the choice again.

Global Privacy Control. If your browser sends a Global Privacy Control signal, we treat it as an opt out and do not load Google Analytics or the Meta Pixel, with no action needed from you.

Other ways to opt out. You can block cookies in your browser settings, install Google's Analytics opt-out browser add-on, or adjust your ad settings in your Facebook account. You can also opt out by emailing info@mentorpods.com or calling 216-219-4561.

9. Your Rights

Wherever you live, you can ask us to:

  • Tell you what personal information we hold about you and share a copy
  • Correct information that is wrong
  • Delete your information, including chat transcripts
  • Stop emailing or texting you
  • Stop sharing your information with Meta (use the control in section 8)

If you live in California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon or another state with a privacy law, these are your legal rights and we will not treat you differently for using them. If we deny a request you can appeal by replying to our response.

To make a request, email info@mentorpods.com or call 216-219-4561. We will confirm it is really you, usually by replying to the email address or phone number we have on file, and respond within 45 days. You can also have an authorized agent make the request for you with your written permission.

10. How Long We Keep Information

  • Form submissions, emails and chat transcripts: as long as we are in contact with you and for a reasonable period afterward for our records, or until you ask us to delete them
  • Page view counts: automatically cleaned up on a rolling basis
  • Spam and abuse logs: kept briefly for security review
  • Client records: for the length of your membership and as long as tax and accounting law requires

11. Security

Information travels to and from this site over encrypted connections and is stored in a database that encrypts data at rest. Access is limited to the people who need it to respond to you. No method of storage or transmission is completely secure, so we cannot promise that information can never be lost or accessed without permission, but we work to prevent it.

12. Children

This site is for business owners and is not directed to anyone under 18. We do not knowingly collect information from children. If you believe a child has given us information, email info@mentorpods.com and we will delete it.

13. Visitors Outside the United States

Our servers and the companies in section 7 are in the United States. If you visit from another country, your information will be processed in the United States, where privacy laws may differ from those where you live.

14. Changes to This Policy

When we change this policy we will post the new version here and update the date at the top. If a change is significant we will say so on this page.
